See every client's streaks without chasing screenshots

Your clients track their daily habits in the Notion workspace they already use. You get one dashboard showing streaks, completion rates and sync health for every client, plus an alert the moment someone goes quiet.

How it works

1

Get your coach space

You get a coach space, clients join with one link.

2

Clients connect their own Notion

Each client connects their own Notion. Their data stays theirs; they consent by connecting.

3

Catch drop-off before it becomes a no-show

Your dashboard shows streaks and completion per client. You get an email when someone goes dark, plus a weekly summary.

A client roster from first invite to weekly check

Here is the whole loop, from the day your coach space exists to the check you do before a session. Once a client is connected, none of it needs you to ask them for anything.

1

Your coach space and your roster

The coach space is set up by hand rather than by a signup wizard. You tell us how many clients you work with and what you need to see on the roster. We build the space and hand you one invite link to send out. Onboarding stays manual for the same reason your intake call is manual: the setup should match how you actually run your practice. The first client can be invited the same day the space exists.

2

Each client connects their own Notion

Clients connect through the official Notion OAuth flow. They duplicate the free habit tracker template, choose the one habit database they are willing to share and approve the connection. About five minutes each, with nothing to install and no new login to lose. That detail decides adherence more than any feature does: a client who has to open a second tool to log a habit will stop logging the habit. Here they tick a checkbox in the workspace they already keep open.

3

The roster shows streaks and drop-off

From then on the roster does the chasing. Every night, at each client's own local midnight, the sync reads that day's checkboxes and turns them into streaks and completion rates. Your dashboard puts the top streak, the seven-day and thirty-day completion rate, the last entry date and the sync status for every client on one screen. The roster screenshot under "See it in action" further down shows that view. You see a drop-off while it is still a thin week, instead of hearing about it once a client has quietly stopped booking.

4

Optional challenges plus what the client sees

Your client sees their own habit tracker: streak bars per habit, current and longest streak, the day's points, all inside their own Notion page. Optional challenges are the one thing you can add on top. You decide whether to run any. Everything else stays separate: the roster dashboard with every client's streaks is coach-only. Clients never see each other. A client can disconnect at any time. Their habit history stays in their own workspace either way.

What changes for your practice

Chasing screenshots

Adherence between sessions arrives as screenshots in a chat thread, or as whatever the client remembers about their week. You ask, they summarize, you both round up.

The client who went quiet is the one you hear from last, usually after the habit has already lapsed for a fortnight.

One roster

Streaks and completion rates per client are current every morning, fed by the nightly sync, without anyone sending you anything.

The session starts from numbers you have both already seen, so the first ten minutes are not spent reconstructing the week out loud.

What does not change is ownership. Each client's habit data lives in their own Notion workspace. We read the one habit database they chose to connect, nothing beyond it. They can disconnect at any time. Personal data stays personal. What you get is a view of the adherence you agreed to track together.

What it is not

This is not a coaching platform. It does not hold your program content, it does not schedule sessions, it does not take payments. It is not a wellness dashboard for an employer either. It covers one slice of the work: whether the daily habits you agreed on actually happened, visible without either of you chasing it. The rest of your stack stays exactly where it is.

Built in the open

Notion Habit Heroes is built by one developer, not a sales team. Every feature ships from real use before it reaches a coach's roster. Read the build notes on the blog to see how the product actually works before you connect a client's Notion workspace to it. The case for building this roster view at all, including why screenshot check-ins fail long before a coach notices, is in our guide to client accountability for coaches who use Notion.

Pick three clients, have them create free accounts today and let them run a competition together. The product is free for individuals, competitions and duels included, so you can watch how the daily tracking holds up in practice before anyone talks pricing. The coach-only roster dashboard is the part that arrives with a coach space.
